2. Introduction

This PAIA Manual has been compiled in accordance with the requirements of the Promotion of Access to Information Act. The purpose of this Manual is to inform the public of the categories of records held by Pietersburg Fotografie Klub (“PFK”), and the procedures to follow when submitting a request for access to such records.


3. Records held by PFK

PFK holds the following categories of records (either in hard copy or electronic form):

  • Statutory records: Founding documents, constitution, minutes of annual general meetings

  • Membership records: Application forms, registers, attendance records, payment confirmations

  • Financial records: Bank statements, income/expenditure records, invoices, receipts

  • Photographic and creative records: Photographs, competition entries, exhibition materials

  • Administrative records: Correspondence, newsletters, general communications

  • Website and digital records: Website content, social media content, email lists


4. Access procedure

  • Requests for access to records must be made in writing, using Form C as prescribed by PAIA.

  • The completed request must be sent to the Information Officer (see section 1).

  • The request must include sufficient detail to identify the record and the identity of the requester.

  • A request fee may be charged in accordance with the Act.


5. Grounds for refusal

PFK may refuse access to a record in circumstances permitted by PAIA, including but not limited to:

  • Protection of personal information of members and third parties

  • Protection of confidential information supplied by third parties

  • Protection of the safety or property of individuals

  • Protection of privileged records (e.g. legal advice)
